Approval workflows

Require approval before POs are sent; choose single, group, multi-level, or amount-based workflows on the Pro plan.

Approval workflows

Available on the Pro plan. Approval workflows make sure POs are reviewed before going to the supplier. Workflows are configured once in Settings and apply automatically to matching POs.

Enabling approval workflows

  1. Go to SettingsApproval Workflows.
  2. Turn on Enable Approval Workflows.
  3. Click Create Approval Workflow to add your first workflow.

Workflow types

  • Single Approver — one named approver must approve the PO.
  • Any One of a Group — any one approver in a group can approve.
  • Multi-Level — multiple approval steps, each step approved in order.
  • Amount-Based Threshold — applies only when the PO total exceeds a configured threshold.

Configuring a workflow

For each workflow, set the name, type, threshold (if amount-based), and the approvers from your approver list (managed in Settings → Purchase Order Approvers). For multi-level workflows, configure each step in order.

Submitting a PO for approval

  1. Open the draft PO.
  2. Click Submit for Approval.
  3. The PO shows a pending approval banner and approvers receive an email with approve and reject links.

Approving and rejecting

Approvers can decide either in-app (any logged-in staff member whose email matches an approver) or directly from the approval email. Once the workflow's requirements are met, the approval status moves to approved and the PO becomes sendable.

Revoking a request

The submitter can click Revoke approval request on a pending PO to cancel the workflow and return the PO to a sendable draft.
