Navigating the PO Flow dashboard

A guide to the PO Flow dashboard and what each section shows.

The PO Flow Dashboard

The PO Flow dashboard is your operational control centre. It gives you a real-time overview of everything happening in your purchasing workflow so you can spot issues and take action without digging through individual records.

KPI Cards

The top row of the dashboard shows eight key performance indicator cards:

  • Open PO Value — the total value of all purchase orders that have not yet been fully received.
  • Overdue POs — POs that have passed their expected delivery date. Shows in red when there are overdue POs.
  • Pending Approval — POs currently awaiting approval (Pro plan).
  • Low Stock Alerts — products that have fallen below their reorder point.
  • This Month Spend — total value of POs created in the current calendar month.
  • Active Suppliers — number of suppliers with at least one open PO.
  • Received This Month — number of POs fully received this month.
  • Return Value — total value of open returns to supplier.

Urgent Alerts

Below the KPI cards, the Urgent Alerts section highlights items that need immediate attention — out of stock products, overdue POs, and POs pending your approval. Click any alert to go directly to the affected record.

Quick Actions

Use the Quick Actions panel to create a new PO, start a return to supplier, or jump to reports with a single click.

Recent Activity

The Recent Activity feed shows a live log of the latest events across all your purchase orders — status changes, receipts, approvals, and more. Click any item to open the associated PO.

Supplier Performance

The Supplier Performance section shows on-time delivery rates for your most active suppliers, colour-coded green, amber, or red based on their performance.

Plan and Usage

The Plan and Usage card at the bottom shows your current plan, how many POs you have used in the current billing period, and your limit. Pro plan merchants see Unlimited.
