Partial receiving — receiving part of a PO
How to handle partial shipments where only some items on a PO have arrived.
Partial receiving
It is common for suppliers to ship orders in multiple shipments. PO Flow handles this gracefully — you can receive whatever arrives and leave the rest open until the remaining goods arrive.
How to partially receive a PO
- Open the purchase order.
- Click Receive Stock.
- Select the receiving location.
- Enter the quantities that have actually arrived. Leave items that have not arrived at zero or enter the partial quantity received.
- Click Confirm Receipt.
The PO status will change to Partial. The PO remains open and you can receive the remaining items when they arrive by clicking Receive Stock again.
Tracking what is still outstanding
On a partially received PO, the line items table shows both the ordered quantity and the quantity already received. The outstanding quantity (ordered minus received) is what still needs to arrive.
Receiving the remainder
When the remaining goods arrive, open the PO and click Receive Stock again. The quantities outstanding will be pre-filled. Adjust if needed and confirm. Once all quantities are received the PO status changes to Received.
Multiple shipments to different locations
Each receive action specifies a single location. If a shipment is split between locations, run a separate receive action for each location, specifying the quantities going to each.
