How to receive stock against a purchase order and update Shopify inventory.

Receiving inventory against a purchase order

When goods arrive from your supplier, use PO Flow to receive them. This updates your Shopify inventory counts automatically and closes out the PO once everything has been received.

How to receive stock

  1. Open the purchase order you are receiving against. It must have a status of Sent, Approved, or Partial.
  2. Click Receive Stock in the top action bar.
  3. Select the receiving location from the dropdown. This is the Shopify location where the inventory will be added.
  4. Enter the quantity received for each line item. If you received everything enter the full ordered quantity. If something is short-shipped enter only what arrived.
  5. Click Confirm Receipt.

What happens after confirming

Shopify inventory at the selected location is updated immediately. If all line items were fully received the PO status changes to Received. If only some items were received the status changes to Partial and the PO remains open for the remaining items.

Cost update on receipt (Pro)

If you are on the Pro plan and have cost update enabled, PO Flow will also update your Shopify product costs when you receive stock. Depending on your settings a confirmation modal may appear showing the old and new costs before applying.

Multiple receiving locations

To receive the same PO into multiple locations, run separate receipts — one per location. Each receipt specifies a different location and updates inventory there independently.
