PO Flow follows your Shopify staff access; approvers are a separate concept used by Pro approval workflows.

User access and approvers

This is the most common question about PO Flow access, so it is worth stating up front: PO Flow does not have its own per-staff permission system.

How access actually works

If a staff member has access to your Shopify admin and the apps area, they have access to PO Flow. PO Flow inherits the access rules you have already configured in Shopify. To restrict who can use PO Flow, manage your Shopify staff permissions — there is nothing inside PO Flow to toggle.

Approvers (a separate concept)

PO Flow has a list of named approvers that is used by approval workflows on the Pro plan. Approvers are not user accounts — they are a list of names and email addresses you maintain in Settings.

Managing approvers

  1. Go to SettingsPurchase Order Approvers.
  2. Click Add Approver.
  3. Enter a name and email.
  4. Click Save.

When you create an approval workflow (Pro), you pick approvers from this list. Approval emails go to their email addresses; in-app approval works for any logged-in staff member whose Shopify email matches an approver in this list.
