Managing vendor contact information

Many suppliers have multiple contacts — a sales rep, an accounts contact, a logistics coordinator. PO Flow lets you store individual contacts within each supplier profile so you always have the right person's details to hand.

How to add a contact

  1. Open the supplier profile.
  2. Click the Contacts tab.
  3. Click Add Contact.
  4. Enter the contact's name, email address, phone number, and role or title.
  5. Click Save.

Managing existing contacts

All contacts for a supplier are listed on the Contacts tab. Click any contact to view or edit their details. You can update any field and save the changes.

Primary contact for emails

The email address used when sending PO emails and return emails comes from the supplier's main profile email (set on the Profile tab), not from individual contacts. Individual contacts are for your reference only.

Adding notes about a supplier

For general notes about a supplier — payment terms, lead times, preferences, issues — use the Notes tab. Click Add Note, type your note, and save. Notes are timestamped and preserved permanently as part of the supplier record.
