Connect PO Flow to QuickBooks Online to sync purchase orders or bills; available on Growth and Pro.

QuickBooks Online sync

Available on the Growth and Pro plans. The QuickBooks Online (QBO) integration syncs PO Flow purchase orders into QBO as either Purchase Orders or Bills, so your accounting books stay current without double entry.

Connecting

  1. Go to SettingsQuickBooks Online.
  2. Click Connect to QuickBooks.
  3. Sign in to QuickBooks and pick the company to connect.
  4. Approve the requested permissions.
  5. You are returned to PO Flow with the connection confirmed.

Sync settings

  • Sync type — choose to sync POs as either Purchase Order or Bill in QuickBooks. Most merchants pick Bill if their workflow is to record what they owe on the date of the PO; Purchase Order if they prefer to track a PO separately and convert to a bill manually.
  • Auto-sync — when on, POs sync automatically at a chosen trigger. When off, you sync manually from the PO header.
  • Auto-sync trigger — when auto-sync is on, choose the event that triggers the sync, for example sent (sync when the PO is sent to the supplier).
  • Default account — the QBO expense account to use for new bills.

Manual syncing

On any PO, click Sync to QuickBooks in the PO header. The current PO state is sent to QuickBooks, and the PO records the QBO entity ID. If the PO is edited later, the header shows PO edited since last sync and offers to re-sync.

Disconnecting

Click Disconnect QuickBooks in Settings. Existing synced bills and purchase orders in QuickBooks are not removed — they remain in QBO as their last-synced state.
